Enter Substitute Sales Part Base Data

Explanation

Use this activity to view substitute parts that are already connected to a sales part and to connect new substitute parts to a sales part. Substitute parts (also referred to as alternate parts) are parts that have similar characteristics as the sales part; they could be sold instead of the sales part requested by the customer if the requested part is not available. At order line entry, the substitute parts for a particular sales part would then be presented in a dialog box. Note: Only existing sales parts can be entered.

Prerequisites

The part that you want to enter as a substitute part must have been established as a sales part.

Procedure

  1. Open the Alternate Sales Parts Base Data window.
  2. Create a new record. The default site automatically appears in the Site field. You can change the site by entering the applicable short code or selecting one from the List of Values.
  3. In the Sales Part No field, enter the sales part number or select it from the List of Values. The description of the sales part automatically appears in the Sales Part Description field.
  4. Connect a substitute part by entering its part number in the Substitute Sales Part No field or by selecting a part number from the List of Values. The List of Values shows all allowable substitute sales partsthat is, all parts that have been entered as substitute parts on the Alternate Parts tab of the Part window. Note: If you enter an alternate that has not been established as a substitute to the selected sales part, a message appears informing you of that fact and asking you whether you want to continue. If you click Yes, the system creates a record that connects this new substitute part to the sales part on the Alternate Parts tab of the Part window.
  5. As an alternative to step 4, you can right-click on the row and then click Copy Alternate Parts. The Copy Alternate Parts dialog box appears. Click OK to retrieve all substitutes allowed for the site and sales part shown in the dialog box (the same as in the Site and Sales Part No fields).
  6. The description of the substitute sales part automatically appears in the Substitute Sales Part Description field.
  7. Save the record.
