Establish Access Rights for Serials

Explanation

This activity is used to spread access rights to the serials. There are two steps in this activity.

You can spread access to all the parts and their alternates on all the levels for a template part, by using the Spread Access Rights To Parts and Serials dialog box. When you select a template and give access to a selected access group, the access is spread to all the serials of the child parts, alternates, and disconnected serials on all the levels. 

In the Spread Access Rights To Serials dialog box, you can select any top serial, and grant or revoke the access it has received. Therefore, before you use this dialog box, the serials must have received access groups from the template level, which is done in the Spread Access Rights To Parts And Serials dialog box.

The access groups are used to control access to the serials and to the maintenance programs.

Prerequisites

• The users per access group must have been defined.
• A template structure in the Active status must exist.
• A serial structure must exist to have any effect of the access right definition.
• Access groups must have been defined for the template parts, so that the Spread Access Rights To Serials dialog box can be used. 

System Effects

As a result of this activity, the user's access to the serials will be controlled.

Procedure

Step 01:

To spread access rights to the parts and serials

1. Open one of the following windows, and query (F3) for the part number for which you want to spread access rights.

• Template Parts
• Template Part
• Serial Structure Template
• Template Structure Navigator

2. Right-click and then click Spread Access Rights To Parts And Serials. This will open the Spread Access Rights to Parts and Serials dialog box.
3. The fields in the Spread Access for Template Part area will automatically receive the values from the template part number, for which you selected the dialog box. 

To grant access rights to parts and serials

4. In the Select Access Group area, click Grant.
5. In the Access Group ID list, select the access group for which you want to grant access rights.
6. Select the Grant access to not installed serials? check box, if you want disconnected serials (i.e., serials currently not installed in a structure) for the part numbers that are assigned to the template structure, to automatically receive the new access group.
7. By default, the Implement For check box will be selected for all the serials belonging to the template part. If you do not want to give access to a serial, you can clear the Implement For check box.
8. Click Apply to carry out the operation without closing the Spread Access Rights To Parts And Serials dialog box. You can use this step when you want to grant access rights to more than one access group.
9. Click OK to spread the access rights to the part you selected and the serials belonging to the part.

To revoke access rights to parts and serials

9. In the Select Access Group area, click Revoke.
10. In the Access Group ID list, select the access group for which you want to revoke access rights.
11. By default, the Implement For check box will be selected for all the serials belonging to the template part. If you do not want to give access to a serial, you can clear the Implement For check box.
12. If you want to run the revoke as a background job, select the Do you want to run the revoke in batch? check box.
13. Click Apply to carry out the operation without closing the Spread Access Rights To Parts And Serials dialog box. You can use this step when you want to revoke access rights to more than one access group.
14. Click OK to revoke access rights to the part you selected, and the serials belonging to the part. 

Step 02:

To spread access rights for serials of a selected top serial

1. Open one of the following windows, and query (F3) for the serial for which you want to spread access rights.

• Serial Structures
• Serial Structure Information

2. Right-click and then click Spread Access Rights To Serial. This will open the Spread Access Rights To Serials dialog box.
3. In the Access Group ID field, the access groups for the selected serial will appear. You can either grant or revoke access to these access groups by selecting the respective check boxes in this dialog box. 
4. Select the Grant check box to grant access, or the Revoke check box to revoke access to the serial.
5. Click OK to grant or revoke access to the selected access groups. 

To view the access group for a template part

1. Open the Access Groups Per Template Part window.
2. Populate (F2) or query (F3) for the template part number for which you want to view the defined access groups.
