Enter Object Group

Explanation

This activity is used to enter information on an object group in IFS/Fixed Assets. Object groups are used in queries and reports, and they also hold default base values, depreciation methods, and books. Rotable pool objects will use only depreciation methods based on acquisition value with depreciation not allowed below depreciable basis, as the default values for the rotable pool book.

Before information on the object group can be entered, the following must have been completed:

As a result of this activity, the object group can be used when a new object is entered. The object group then displays default values for the object.

Procedure

Use the following procedure to enter information on an object group:

  1. Open the Object Group window.
  2. Use the New function and enter the object group and the description.
  3. Use the List of Values to select a value for the Acquisition Reason field if you want to specify a default acquisition reason for the objects belonging to the object group.
  4. Select a value for the Acquisition Account field using the List of Values if you want to specify a default acquisition account for the objects belonging to the object group.
  5. Select a value for the Disposal Reason field using the List of Values if you want to specify a default disposal reason for the objects belonging to the object group.
  6. Use the List of Values to select the appropriate property template for the Property Template field if you want property codes from a particular property template to be connected to all the objects in the object group by default.
  7. If you want the object ID of objects belonging to this object group to be automatically generated according to a specific series ID, enter that series ID in the Series ID field. The List of Values can be used to select the required series ID.
  8. Use the List of Values to select a value for the Object Class field if you want to specify a default object class for the objects belonging to the object group.
  9. Select the Object Class Mandatory check box if you want to make it mandatory for objects belonging to this object group to have an object class specified in the Object Class field in the Object window.
  10. In the Base Value Types tab, use the New function. Use List of Values to specify the Base Value Type. A description is displayed. Save the information. If you add a new base value type to an object group that is linked to objects, a message is displayed; you can decide if you want the change to affect existing objects, or only new objects. A date can then be specified from which the new user-defined base value is valid. A calculation index can be linked to the base value by using the List button. You can also enter information on that the new base value is to be initiated by acquisition value. (Note: Use the right mouse button option Update Objects to add user defined base values to objects connected to the object group.)
  11. Create a new record in the Depreciation Methods and Books tab. (Note: Use the right mouse button option Update Objects to add/modify the fixed asset book and related depreciation basic data to objects connected to the object group.)
  12. Select an appropriate book for the Book ID field using the List of Values.
  13. Enter the depreciation method that you want to connect to the book in the Depreciation Method field. The List of Values can be used to select an appropriate value.
  14. Enter a value in the Estimated Life field
  15. Enter a value in the Alternative Estimated Life field if necessary.
  16. Save the information.

Note: You can also enter basic information in Overview Object Groups. Then, select the Object Groups operation to enter more information for the object group.
