Enter Customer Contacts

Explanation

This activity is used to connect a contact person to a customer.

Prerequisites

The person must be specified as a customer contact on the Person window.

If the contact is not already defined as a person, the contact will be registered in the Person window.

Procedure

  1. Open the Customer window and query for the customer.
  2. Select the Contacts tab and a new record.
  3. Enter the Person ID manually or via the List of Values.
  4. Optionally, select the applicable roles from the Role list.
  5. Optionally, enter a value in the Customer Address ID field manually or select one from the List of Values.
  6. Optionally, enter a value in the Contact Address field manually or select one from the List of Values.


  7. Follow steps 7-13 if IFS Applications/CRM module is installed. Else, proceed to step 14.
     
  8. Optionally, select the applicable personal interests from the Personal Interest list.
  9. Optionally, select the applicable campaign interests from the Campaign Interest list.
  10. Optionally, select the type of the decision maker from the Power of Decision list.
  11. Optionally, select the relevant department from the Department list.
  12. Optionally, enter a value in the Manager field manually or from the List of Values.
  13. Optionally, select the Blocked for Use in CRM check box to block the contact from being used in CRM objects.
  14. You can also enter representatives for contacts. To do that, select a contact record and add a new record in the below representative sub-table.
  15. Optionally, you can set the contact as customer primary and/or customer secondary by selecting the Customer Primary and/or Customer Secondary check boxes.
  16. If a contact address has been entered you can set the address as an address primary and/or address secondary by selecting the Address Primary and/or Address Secondary check boxes.
  17. You can connect a contact to all addresses by selecting Connect All Customer Addresses check box.
  18. Optionally, you can enter a note in the Note field.
  19. Save the entry.

To enter a customer contact by finding a person already defined in Person or by defining a new person in Person:

  1. Open the Customer window and query for the customer.
  2. Select the Contacts tab.
  3. Right-click and then click Add Contact to open the Add Contact dialog box.
  4. Enter the name of the contact in the Name field and click Find to find any persons already defined in Person. The Select Person dialog box will be displayed. The system will make a check for possible duplicates based on what has been entered in the First Name and Last Name fields and possible matches will be displayed in the bottom part of the dialog box.
  5. If one or several possible matches are found and one of them is the person you want to use as a contact, select the corresponding row and click OK. Optionally enter additional information in the Add Contact dialog box. Click OK to confirm. A new contact is now created and a connection to the existing person is made.
  6. If possible matches are not found click Cancel to create a person in Person and to enter the person as a contact person for the customer.
  7. If required select the applicable roles from the Role list.
  8. Enter communication methods like Phone No, E-mail etc.
  9. If required, specify a customer address ID in the Address ID field. You can manually enter an address ID or select one from the list by clicking List.
  10. Optionally to copy this address to the entered contact person, select the Copy Address to Contact check box.

    Follow steps 11-12 if IFS Applications/CRM module is installed.
     
  11. Optionally, specify values for Personal Interest, Campaign Interest, Power of Decision, Department and Manager fields of the new contact.
  12. Optionally, you can select the Blocked for Use in CRM check box to block the contact from being used in CRM objects.
