Each document title consists of one or more revisions. The title information is common for all its revisions.
To each revision, you can connect one EDM file or an approval process. You can register originals, and you can create a document structure. You can also connect a number of business objects.
There are two ways of viewing the information on document revisions. You can choose the Document Revisions window in the navigator to access an overview window displaying all document revisions, or you can query a subset of document revisions. It is possible to maintain information in this overview window, but status changes can only be accomplished in the Document Revision window.
In the Document Revision/ General tab, you can maintain revision information and manage status changes. New document revisions are not inserted here because a new document revision is either a new document that must be inserted in the Document Titles window or a new revision. A new revision can be created using the right mouse button options.
You can delete obsolete document revisions in both windows. You can also delete document revisions not having object references and not used in any structure. All corresponding structures, routings, original references, and EDM file references are deleted as well. When the last revision is deleted, the document title is automatically removed.
Creating: You can't create new document revisions because a new document revision is either a new document that must be inserted in the Document Titles window or a new revision. A new revision can be created from the Operations menu.
Modifying: You can modify some fields. Status changes can only be accomplished in this window by choosing the actual status change from the menu.
Removing: You can delete obsolete document revisions. A document revision cannot be a member of a document structure, and it cannot have object references. The physical EDM file must be deleted, and it must be marked as Obsolete before deletion is allowed. When deleting a document revision, all connections such as the Document Revision Original, Document Revision Sheet, Document Structure, and Document Approval Routing will be deleted as well. When deleting the last revision, the document title will automatically be removed.
The document revision status can be one of the following values: Preliminary, Approval In Progress, Approved, Released or Obsolete;. When a document is created, the status will automatically be set to Preliminary.
